A patient may call during lunch, while the front desk is helping someone in person, or after the office has closed. The Appointment Agent answers, captures the reason for the call and the details needed to move the request forward, and takes the next action the practice has approved. Patients can correct themselves or change direction during the conversation.

Outreach runs on your contact policy

Declines and opt-outs are recorded, and outreach stops or changes according to the practice’s approved policy and applicable requirements. Consent and communication requirements remain part of the practice’s setup.

Escalation is part of the design

Pain, urgent requests, questions about care, benefits, balances, complaints, and anything outside the approved workflow move to the practice’s chosen escalation path — with the reason and patient context already captured, so staff continue the conversation rather than restart it. The agent does not provide emergency or clinical triage.

What staff see afterwards

Front-desk teams should not have to replay every call. They can review calls answered by time and reason, contact attempts and response status, callback requests and unresolved questions, and the work handed to staff — a focused queue of what still needs a person, not a wall of recordings.
